Sail Webstudio ("we", "us", "our") builds and operates automated communication and workflow systems for service businesses. This policy explains what information we collect, how we use it, and the choices you have.

1. Who this policy covers

This policy applies to:

• Visitors to sailwebstudio.io
• Our clients — businesses who engage us to build or operate automation systems
• End customers of our clients — people who contact one of our client businesses and receive automated messages sent through systems we operate on that business's behalf

Where we operate a system on behalf of a client business, that business is the controller of its customer data and we act as a service provider processing data on their instructions.

2. Information we collect

Information you give us directly

• Name, email address, phone number, and business details when you contact us or request a quote
• Any information you include in messages you send us

Information collected through systems we operate for client businesses

• Phone number of a caller who contacts a client business
• Name, contact details, and service details submitted through a quote request form
• Job records, service dates, and completion details
• Photographs of work performed, where a client business uses our service reporting features
• Timestamps and delivery records for messages sent and received

Information collected automatically

• Basic technical data such as IP address, browser type, and pages visited on our website
• Cookies or similar technologies used to operate the site

3. How we use information

We use information to:

• Respond to enquiries and provide quotes
• Operate the automation systems our clients have engaged us to build, including sending appointment, quote, follow-up, and service messages on their behalf
• Deliver service completion reports to client businesses and their customers
• Maintain records of work performed
• Improve, troubleshoot, and secure our services
• Comply with legal obligations

We do not use personal information for automated decision-making that produces legal or similarly significant effects.

4. SMS and text messaging

Some systems we operate send SMS text messages on behalf of a client business.

Consent. We send messages only where the recipient has consented. Consent is obtained in one of two ways:

1. Inbound contact. The recipient calls the client business's published phone number. If the call is not answered, an automated reply is sent to the same number the recipient dialled from, in direct response to their own contact.
2. Web form submission. The recipient submits a quote request form and affirmatively agrees to receive text messages about that request. Phone number is a required field and submission is the affirmative action.

Message frequency varies depending on your interaction with the business.

Message and data rates may apply. Your mobile carrier's standard rates apply to messages you send and receive.

Opting out. Reply STOP to any message to stop receiving text messages. You will receive a single confirmation message and no further messages will be sent. Reply HELP for assistance, or contact sai@sailwebstudio.io.

No sale or sharing of SMS data. Mobile phone numbers and SMS consent information collected for text messaging are not sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Phone numbers are shared only with the service providers strictly necessary to deliver the messages (for example, our telecommunications provider), and with the client business on whose behalf the message is sent.

5. How we share information

We share information only in these circumstances:

• With the client business whose system we operate, where the information relates to their customers
• With service providers who help us operate our systems, including our messaging provider, email provider, and cloud hosting and storage providers. These providers are permitted to use the information only to perform services for us
• Where required by law, including in response to a lawful request by public authorities
• In connection with a business transfer, such as a merger or acquisition, subject to this policy continuing to apply

We do not sell personal information.

6. Data retention

We retain personal information for as long as needed to provide our services and to meet legal, accounting, or reporting obligations. Records held on behalf of a client business are retained according to that business's instructions, and are deleted or returned when our engagement with them ends, unless we are required to keep them longer by law.

7. Security

We use reasonable technical and organisational measures to protect personal information, including access controls, encrypted connections, and restricted credential handling. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Object to or restrict certain processing
• Withdraw consent, including opting out of text messages at any time

9. International transfers

We operate from India and work with clients and service providers located in other countries, including the United States and the United Kingdom. This means your information may be transferred to, stored in, or processed in a country other than your own. Where we transfer information internationally, we take steps to ensure it remains protected in a manner consistent with this policy.

10. Children

Our services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated to affected clients directly.
